What is a VAR Sheet?

A VAR Sheet (VAR = Value Added Reseller) is a setup document that contains the key configuration details for a merchant account. Think of it as the “instruction sheet” that tells a gateway or terminal exactly how to connect to your approved processing account.

It typically includes critical information like:

  • Merchant ID (MID)
  • Processor and platform details
  • Banking and funding configuration
  • Business and account identifiers needed for setup

How it’s used

Retail (card-present) merchant accounts
If you are using a physical terminal, this configuration is usually loaded directly into the terminal so it can process transactions through your account.

Online (card-not-present) merchant accounts
If you are using a payment gateway or third-party software, the same configuration is provided in a VAR Sheet and shared with your gateway provider (for example, Easy Pay Direct). We use it to configure the gateway so it can communicate with your processor and complete transactions correctly.

When you receive it

Receiving the VAR Sheet is typically the final step of the merchant account approval process, because it is only generated once the account is approved and ready to be set up for processing.
